Credits/ Pre-Pay: you are welcome to put extra money down or pay ahead for additional appointments for anything Dr. Hartman does, but you will also need to make your appointment(s) in advanced the day you pay ahead. This way, Dr. Hartman can plan for this credit and you are guaranteed your time and day.
NOTE:
- Dr. Hartman keeps excellent records and will send out a reminder to schedule to those with coupons, gift certificates, and/or credits.
- All pre-pays and credits MUST be used by the end of the year. There are NO refunds or checks given out. It is your choice to put extra money down or pay ahead for an appointment, and it’s your responsibility to use it by the end of the year.
- There are NO refunds if an appointment is canceled and you change your mind and decide you want your money back. Once a credit slip is given with an amount, day of credit, patient signature confirming their credit(s), they understand they have until the end of the year, they acknowledge they cannot change their mind and ask for money back etc., and a scheduled day is on the slip. It cannot be refunded for any reason. You will have the credit until the end of the year. After which, the credit falls off if you did not use it you will lose the credit.
- If you schedule and cancel for any reason and aren’t able to get back in before the end of the year; you will unfortunately lose out. It is NOT Dr. Hartman’s fault if you cannot get back in before the end of the year. She rarely cancels on anyone, sends out openings weekly etc.
- If you want to pre-pay or give a credit to someone, this needs to be stated ahead of time in writing with your signed signature, if you want your spouse or child to use the prepaid amount. However, this does not include extended family, friends etc. unless approved by Dr. Hartman.
- No credits or pre-paid amounts can be combined with other coupons, specials, or discounts.
- If you take a credit in office instead of getting change back or a check, you cannot go back later on and change your mind. This is why Dr, Harman has patients sign a paper showing your signature -proof you chose this way instead of getting change back while in office. Most people come back to see Dr. Hartman for something.
- Multiple cancellation and reschedules will NOT be allowed or tolerated; especially during a special. This takes away from Dr. Hartman (any business), and others who may have wanted or needed in that particular day and time. Visit Canceling, Scheduling & Rescheduling
- If you need to cancel and reschedule any appointment(s), a week notice must be made for ALL credits & pre-paid appointments. In addition, another appointment made the day you cancel and reschedule.
- If you cancel once and need to reschedule in a different month; and have paid for your appointment ahead of time, your credit will carry over, but you will need to make up the difference of the regular price if it was during a special. Dr. Hartman understands that sometimes with her schedule and yours it may be hard to connect. However, she does work very hard to get those who cancel back in quickly.
- All credits and pre-paid appointments can be cancelled and rescheduled up to two consecutive times if cancelled within 24 hours the day before your appointment and at least 48hrs when booking online; unless there is a special.
- Specials are already discounted, any credits are not allowed to be used toward payment during specials. When someone cancels this takes out of Dr. Hartman’s pocket every time someone cancels. If a third consecutive cancellation and reschedule occurs it will result in a charge of the full amount and/or deducted from your prepaid balance. It is not fair to Dr. Hartman or any business, and hurts the business in the process – they lose out with multiple cancellations.
- If you cancel your appointment day of or last min during regular prices, you will be charged minimum of $80! There are numerous businesses and doctors offices that charge for missed appointments and/or day of cancellations. Every time Dr. Hartman has a last minute or day of cancellation she loses out.
Specials:
- If you cancel and cannot get back in you will lose out if you pay for two times during a special. It is NOT Dr. Hartman’s fault if you cancel and cannot get back in during a special; she’s normally very busy.
- If you are paying ahead for a special, you are allowed to cancel and reschedule ONCE during the month of the special. If a 2nd cancellation occurs during the special a $50 fee will be deducted from the credit amount. If a 3rd reschedule/cancellation occurs during the special you will lose out on your credit. It’s not fair to Dr. Hartman or other patients if you continue to schedule, cancel, and reschedule.
- If you cancel once during a special and Dr. Hartman has tried to work with you and your schedule but you are still unable to reschedule; she will allow your credit to carry over and you will pay the difference on the next appointment. However, only if she does not have one day open for you to schedule. if you have make two or more appointments and canceled and rescheduled in the same month you will lose your credit. Especially, if Dr. Hartman had openings but you could not make what she had available and/or you cancel again. It becomes a hassle to continue to schedule, cancel, and reschedule. Dr. Hartman keeps documentation of everything. Honestly, you should keep all scheduled appointments unless there is an illness, emergency, and/or life situation. In 34yrs in practice, Dr. Hartman has rarely cancelled, she tries to be understanding as much as possible, and does her best to work with her therapy clients and patients.
- If you cancel your appointment the day of or last min during a special, you will be charged the full amount of the special. - If there continues to be an issue with someone scheduling, canceling and rescheduling frequently, Dr. Hartman will no longer take you as a therapy client or patient…
